How can I sign up?
We provide a trip registration website customized for your individual trip. Your band director or trip leader will share that secure link with you when the trip registration is open.
Who can sign up for the trip?
School rules dictate who may sign up for the trip. Please consult with your band director or trip leader to see if family members or additional guests are allowed on the trip.
Travel Contacts, Guides, and Security
Who do I contact if there is an emergency, and my student is on a trip?
Call the GMT Travel Director’s cell phone noted on your leave-at-home documents. Also, you may contact our office at (800) 225-9919 during business hours (Monday- Friday 8:30 am to 5:30 pm EST). Additionally, when our office is not open, we have a 24/7 emergency contact line which can be reached at (317) 218-0815.
Are we on our own, or is there a guide provided?
You will have ONE point of contact with 24/7/365 access. From the development of your itinerary, on-site at your event, and right through to your final trip reconciliation, you will have ONE contact for everything you might need. This person will be your “right hand” from beginning to end — and no task will be too large or too small. Significantly, our travel directors are always empowered to fix any problems “on the spot” should they occur. Your guide will meet performers, and make sure their experience during their trip is safe, pleasant, and without problems, allowing a band director, choral leader, or group leader to focus on his or her students and their performance preparation. If you have a Family & Friends package, we will also provide travel directors to accompany them on their sightseeing excursions.
What about security while traveling?
As far as security while traveling, no one can guarantee that an unforeseen event will not occur. At GMT, we constantly monitor any recommendations and warnings issued by the Department of Homeland Security and State Department. If such a need arises, communication and emergency procedures are in place, and actions will be taken accordingly. We take your safety and security very seriously, and strive to make each trip as seamless and enjoyable as possible.
Group Leader and Director Resources
As a Director, how can I manage the trip itinerary?
At Grueninger Music Tours, we take care of all the details, so you don’t need to worry. We also have a secure link accessible only to directors and/or group leaders. Here you can find up-to-date information regarding the trip, travel documents, and other tools to help organize and manage the trip. Remember, your best resource is your provided, on-site Travel Director.
Parents and Chaperones
How much spending money should I provide my student?
If the trip is “all-inclusive,” then your student will only need spending money for souvenirs, snacks, etc.
If the trip is NOT “all-inclusive,” then some meals, tickets, and miscellaneous expenses may need to be paid by the student on-site.
*Note: You will be informed in advance if the trip is NOT “all-inclusive,” and the trip itinerary will indicate if you are responsible for expenses.
Who are the chaperones, and what are their responsibilities?
Chaperones are parents or staff members who accompany students on the trip. Chaperones are on-duty 24/7, monitoring students and helping with the trip. Chaperone tasks may include any responsibilities assigned by the director, group leader, or travel director along with monitoring/accompanying specific students, taking attendance, and administering medications.
Should I self-identify as an “adult” or “chaperone” when I register for the trip?
If you are unsure if you should register as an adultor chaperone, consult with the director or group leader as they will assign chaperones to the trip. If you are waiting for an official chaperone assignment but would like to register for the trip, register as an adult. Your designation can be changed at a later date once chaperones are assigned.
Motorcoaches
Can we bring snacks and beverages on the motorcoach?
Snacks and beverages with screw tops (NO cans or open containers) are allowed, as long as you dispose of any trash, and clean up as needed.
Are there electrical outlets and WiFi on the coaches?
At present, electrical outlet and WiFi options are only available in select motorcoaches and cannot be guaranteed.
Does the motorcoach have a TV or DVD players?
Most motorcoaches come equipped with TV monitors and a DVD player. The DVDs are not supplied and will need to be approved and/or supplied by your band director or teacher.
Hotels
Are boys and girls separated by floor or wing?
We do request separate floors for the girls’ rooms and the boys’ rooms. However, due to hotel room availability and layout, this is not always a guarantee. Additionally, chaperones will be assigned to each student floor.
How many students share a room?
Normally, GMT’s room policy is to assign four students per room unless the group leader or band director requests other options. While maximum occupancy is four for most U.S. hotels, some hotels will accommodate up to six occupants. Please speak with the group leader or band director about what their room options and preferences might be for a trip.
Will students have access to paid hotel services or goods? Will they be allowed to charge items to the room?
Students, chaperones, and adults are responsible for any room charges that are incurred. When possible, GMT requests that hotels remove goods with additional costs, room service options, paid entertainment, or phone service from these rooms.
What kind of security is at the hotel?
Hotel security personnel are usually on duty at most hotels. If needed, private security guards may be hired per the request of the band director, group leader, or GMT at an additional charge (prices can vary by location and require a six-hour minimum). Security guards will not perform the duties of a chaperone such as enforcing school rules or correcting behavior, but they will be charged with ensuring a safe environment on every student floor.
Air Travel
We are flying to our destination; what do I need to know?
Your exact personal information must be provided to GMT in order to book your air travel. This includes your full legal name, date of birth, and gender as it appears on your photo I.D. or passport. If the trip requires international air travel, you will need to have a passport valid for at least six months beyond the trip return date. Airline tickets, once purchased and issued are non-refundable. Baggage fees may apply on most domestic flights and some international flights (typically, no more than one bag is free). GMT will provide specific baggage information such as allowed size, weight, and fees with your trip information materials.
International Travel
Do you help groups book public concerts? What kind of audiences would attend?
GMT can certainly help with organizing and promoting public concerts for an additional fee. Venues typically charge rent for the performance space. Attendance is typically good; however, audience type and attendance varies depending on the destination, venue, and promotion.
Do I need to speak the language?
While it helps to know the language or at least a few greetings and phrases, you do not need to speak the language of your destination. Your tour guide will help with any communication.
Do we take our own instruments? Do we rent them at our destination instead of flying with them?
Airline checked baggage fees make transporting large instruments very costly. Smaller instruments are more affordable to check, and small pieces may be carried on the airplane for free as a personal item. In most cases, domestically or internationally it is more cost-effective to rent an instrument than to transport, depending on the number of rental days needed. We also recommend the group ship the larger instruments and equipment to the destination in advance of our arrival.
Will my cell phone work outside of the U.S.?
Your cell phone may work outside the U.S., but in most cases you will see additional charges on your account for cellular data, texting, and calling services. Please consult with your service provider to learn the exact details of your contract and coverage specific to the trip destination. They will be able to advise you of available, temporary, international plans or usage costs. Additionally, there are many apps now available for free WiFi calling and texting.
What if I lose my medications?
When packing medications for travel, please be sure to include two copies of your doctor’s prescription. Due to TSA requirements, pack one prescriptin with each medication. The other prescription should be packed away separately from your medication. If you happen to lose your medication on the trip, a local pharmacy (foreign and domestic) may replace the prescription after verifying with your doctor.
Travel Insurance
Do I need travel insurance?
Travel insurance is an additional cost to the trip. While it’s your personal choice, travel insurance is highly recommended to avoid penalties and loss of payment if there is a risk of cancelling your trip or changing part of the itinerary during your domestic or international travels. It’s a important to check with your existing insurance to see what may be covered when you travel and if it covers your instruments. Most travel insurance options include Trip Cancellation/Trip Interruption, Emergency Medical and Emergency Medical Evacuation/Repatriation, Trip Delay, and Baggage Delay. The cost of a Travel Protection plan depends on the cost of the trip purchased. We can assist you with finding a provider.
Payments
How much does this cost?
The final trip cost per person is determined by the total number of persons registered (group size) and the allowed or requested room occupancy number. Once we receive a final list from the band director or group leader (typically a month before departure) we can calculate the final price per person, and send you an invoice with your remaining balance due. The Terms page will list prices for different levels of group size and room occupancy. You may view the Terms page by visiting your trip registration website.
Can I register now and pay later?
Trip registration must be made with a deposit, as we can’t hold your spot without it. Once deposit and payments can be made, we can see if there is still space available on the trip for you.
How do I make payments?
When your school’s trip is online and registration is open, you may register and pay online. There, you will find details on payment amounts, reoccurring payment schedule, and deadlines. Additionally, if you prefer, you may write a check payable to Grueninger Music Tours along with traveler’s name, school, and trip date on the memo line and mail it to:

What if I need to cancel?
In order to receive any refundable deposits or payments, any cancellation or change to the passenger list must be made before 60 days prior to the trip. If after 59 days or fewer, all cancellations are non-refunded unless a paying substitute student or traveler replaces the spot. A cancelation must be made online or in written communication with GMT. Cancellation or substitution policies vary if airfare is involved, and must be taken into consideration. If you think there is a risk of cancelling, please contact GMT for more information on cancellation policies and trip insurance.
Special Needs
What if I have a student or family member traveling with special needs?
With a little planning, everyone can enjoy this trip, and make the most out of the experience. When you register for the trip, in order for GMT to plan accordingly, please list any limitations and or allergies that we would need to be aware of.
If a traveler requires a wheelchair or has difficult walking long distances, we can arrange for breaks along with possible handicap-accessible parking for the motorcoach. If a wheelchair is required, please let us know, so we can ensure that it is foldable, and fits underneath the motorcoach or boards on the airplane properly.
There are several items to consider before traveling including: making arrangements for your traveler’s wheelchair companion or medical assistant; finding the best way to enjoy rides or amusement park environments – as parks have helpful ride programs or triggers that might need to be avoided; being open about what will be needed during the trip; preparing all medications and devices; and informing us what foods should be avoided due to allergies or restrictions.
What do you do with my special needs information?
By receiving your special requests and requirements ahead of your trip, we can plan the most appropriate course of action by contacting vendors and travel transportation with specific requests. Once trip arrangements are finalized, your Travel Director will reconfirm them with your group throughout its trip.
How can I prepare my traveler and group before we go?
Communication with everyone involved is key. It is important to keep your chaperones informed throughout the duration of the trip. Chaperones will be the main contact person, but they won’t always be present, so please prepare your traveler with the appropriate information. Encourage group members to be aware of any problems or obstacles, to be patient and understanding as plans might need to be adjusted, and to always be kind.
What if my traveler has allergies?
If a traveler has any food allergies or requirements, please check the special needs box when registering for the trip, and provide additional details. For example, if there is a nut allergy, be specific on which nuts or products to avoid and which ones are acceptable – i.e. My student has allergies to almonds and hazelnuts, but peanuts and peanut oil are okay. Additionally, if there are food restrictions such as vegetarian, gluten or dairy free, etc., we may contact our dining partners, and explore meal options ahead of time to accommodate dining needs if possible.
Fund Raising
Do you have any ideas on fundraising?
We know school travel expenses can be out of reach for some students and schools. To help with expenses, GMT has created the Caribbean Cruise Fundraiser. We have customized raffle tickets printed for you to sell “chances” to win a cruise-for-two prize. Ticket prices are the sole discretion of your music or education department, but we can offer ideas of what works best. You may sell them at any price; however, you must alsofollow your local and state laws regarding the sale of raffle tickets.
Terms
RESPONSIBILITY CLAUSE
Grueninger Cruises and Tours, Inc., (dba – Grueninger Music Tours) its employees, shareholders, subsidiaries, affiliates, officers, directors, agents and assigns (collectively “Grueninger”) does not own or operate any entity which is to or does provide goods or services for your program, including, for example, lodging facilities, transportation companies, local ground handlers, food service or entertainment providers, etc. As a result, Grueninger is not liable for any negligent or willful act or failure to act of any such person, or of any other third party not under its control. Without limiting the foregoing, Grueninger accepts no responsibility for any risk or resulting injury, delay, inconvenience, damage, or death which results from criminal activity, weather or other acts of God, accidents, disease, epidemics or the threat thereof, illness, the provision of inappropriate or no medical attention or access to appropriate medical attention, the demands of indoor or outdoor activities, strikes, political or civil unrest, overbooking, structural or other defective conditions in hotels or other lodging facilities, acts of terrorism or the threat thereof, insurrection or revolt, or any other event beyond its direct control.
Grueninger in its sole discretion reserves the right to decline to accept any attendee as a member of this program. Grueninger reserves the right in its sole discretion to terminate any attendee who does not abide by its rules and regulations, and/or whose conduct is deemed to be such as to endanger the attendee, the success of the program or the welfare of other attendees, staff members and/or third parties. In the event of such termination, the attendee will be asked to leave the program at the expense of the attendee. The manner and means of transporting the attendee home shall be the responsibility of the attendee. In the event of such termination, there will be no refund whatsoever. The attendee is personally liable to Grueninger for any damages caused by improper conduct.
The attendee agrees to hold Grueninger harmless for himself/herself/their self and his/her/their heirs and any of their minors, guests and invitees and acknowledges the inherent risks involved in the use of the hotel’s swimming pool and/or any public beach, which risks include, but are not limited to bodily injury, sickness, disease or death from using the Swimming Pool or beach. The attendee also acknowledges and understands that use of the Swimming Pool or beach by the attendee is potentially dangerous and that the type of injury or damage described above can occur when using the Swimming Pool or beach. THE ATTENDEE UNDERSTANDS THERE WILL BE NO LIFEGUARD ON DUTY AND IF THE ATTENDEE CHOOSES TO SWIM, THEY WILL DO SO AT THEIR OWN RISK.
Grueninger may cancel any program because of insufficient enrollment or for any other reason. The terms set forth in this document/web site constitute the entire agreement between attendee and Grueninger. Any amendment to this document/web site must be made in writing and signed by both parties.
No refunds will be made for features in the program not utilized. The cost of replacing lost or stolen tickets is the responsibility of the attendee. If a flight or transfer by motorcoach or train is missed, whether by weather or other conditions beyond Grueninger’s control, attendee is responsible to make his or her own arrangements and to pay all charges associated therewith.
Attendee’s retention of tickets, reservations, or bookings after issuance shall constitute consent to the above, as well as an agreement on attendee’s part to convey the contents hereof to his or her travel companions or group members.
ARBITRATION
Any dispute concerning this contract, the brochure or any other advertising material concerning the program or the program itself must be resolved exclusively by binding arbitration in Indianapolis, Indiana pursuant to the commercial rules of the American Arbitration Association then existent. In any such arbitration, substantive (but not procedural) Indiana law will apply to all issues

PARENTAL AUTHORIZATION / PERMISSION TO TREAT & RELEASE
I hereby authorize any and all medical treatment for my son or daughter, as well as emergency first aid. Release from the hospital to a recognized school and/or school corporation staff or a credentialed chaperone is authorized.
INDIVIDUAL AGREEMENT OF RELEASE AND RESPONSIBILITY CLAUSE:
Grueninger Cruises and Tours, Inc., (d/b/a Grueninger Music Tours, Ambassadair, Ambassadair Groups and Incentives, Grueninger Tours) its employees, shareholders, subsidiaries, affiliates, officers and directors, (collectively “Grueninger”) does not own or operate any person or entity which is to or does provide goods or services for your trip, including, for example, lodging facilities, transportation companies, local ground handlers, food service or entertainment providers, etc. As a result, Grueninger is not liable for any negligent or willful act or failure to act of any such person or entity, or of any act of any other third party not under its control. Without limiting the foregoing, Grueninger is not responsible for injury, delay, inconvenience, damage, or death which results from criminal activity, weather or other acts of God, acts of government, disease, epidemics or the threat thereof, illness, the provision of inappropriate or no medical attention or delayed access to appropriate medical attention, the demands of indoor or outdoor activities, strikes, political or civil unrest, overbooking, structural or other defective conditions in hotels or other lodging facilities, acts of terrorism or the threat thereof, attacks from or bites by animals, insects or pests, transportation failures of any kind or the failure of any transportation mechanism to arrive or depart timely or safely, insurrection or revolt, or any other event beyond its direct control. Grueninger in its sole discretion reserves the right to decline to accept any participant as a member of these trips. Grueninger and its local ground handler reserve the right in its or their sole discretion to terminate any participant who does not abide by its or their rules and regulations, and/or whose conduct is deemed to be such as to endanger the participant, the welfare of other participants, staff members and/or third parties or the success of the program. In the event of such termination, the participant will be sent home at the expense of the participant and his or her parent or guardian. The manner and means of transporting the participant home shall be determined exclusively by Grueninger. In the event of such termination, there will be no refund whatsoever. Participant assumes all risks involved in the use of any hotel exercise equipment and/or swimming pool and/or any other body of water, which risks include, but are not limited to bodily injury, sickness, disease, drowning or death from other causes. Participants also acknowledge and understand that use of any equipment, swimming pool or another body of water is potentially dangerous and that there exists a risk of injury or death. Participant understands there will be no lifeguard on duty and if the participant chooses to swim or use a hot tub or spa, he or she will do so at his or her own risk.
MISCELLANEOUS:
No refunds will be made for features in the trip not utilized. The cost of replacing lost or stolen tickets is the responsibility of the client. If a flight or transfer by motorcoach or train is missed, whether by weather or other conditions beyond Grueninger’s control, the participant is responsible to make his or her own arrangements and to pay all charges associated therewith. Grueninger may cancel any trip because of insufficient enrollment or for any other reason. The terms set forth in this agreement constitute the entire agreement between participant and Grueninger. Any amendment to this agreement must be made in writing and signed by both parties. Participant’s retention of tickets, reservations, or bookings after issuance shall constitute consent to the above. Participant is responsible for damage done by Participant to the Hotel, or any other facility used during the tour, including buses; vehicles used to transport students and/or adults, the various attractions and/or performance facilities. I understand that full responsibility for damage I cause rests entirely with me.

BINDING ARBITRATION:
I agree that any dispute concerning, relating or referring to this Agreement, the brochure or any other literature concerning my trip, or the trip itself, shall be resolved exclusively by binding arbitration pursuant to the Federal Arbitration Act, 9 U.S.C. §§1-16, either according to the then existing Commercial Rules of the American Arbitration Association (AAA) or pursuant to the Comprehensive Arbitration Rules & Procedures of the Judicial Arbitration and Mediation Services, Inc. (JAMS). Such proceedings will be governed by substantive (but not procedural) Indiana law and will take place in Indianapolis, Indiana. The arbitrator and not any federal, state, or local court or agency shall have exclusive authority to resolve any dispute relating to the interpretation, applicability, enforceability, conscionability, or formation of this contract, including but not limited to any claim that all or any part of this contract is void or voidable. By agreeing to these terms and conditions, you (and we) are waiving our right to a trial by jury.
TRAVELERS NEEDING SPECIAL ASSISTANCE:
Persons needing special assistance and attention must report any disability at the time of registration. Grueninger will make all reasonable efforts to accommodate the special needs of our travel guests. Such participants, however, should be aware that the Americans with Disabilities Act is inapplicable outside of the United States and the facilities outside the United States are limited. We require that persons requiring assistance be accompanied by a companion who is capable of and totally responsible for providing the assistance. Neither Grueninger nor its partners, nor its suppliers, may physically lift or assist clients into transportation vehicles.
CODE OF CONDUCT/STUDENT NOTIFICATION:
I HAVE CAREFULLY READ THIS AGREEMENT AND UNDERSTAND, AMONG OTHER THINGS, IT IS A RELEASE IN FAVOR OF GRUENINGER OF ALL CLAIMS AND/OR CAUSES OF ACTION FOR ANY INJURY, DEATH OR DAMAGE TO ME AND/OR MY PROPERTY THAT OCCURS WHILE PARTICIPATING IN OR DURING MY INVOLVEMENT WITH THE TRIP. I FURTHER AGREE THAT THIS RELEASE OBLIGATES ME TO INDEMNIFY GRUENINGER FROM ANY LIABILITY FOR INJURY OR DEATH OF ANY PERSON AND/OR DAMAGE TO PROPERTY CAUSED BY MY NEGLIGENT, INTENTIONAL OR RECKLESS ACTS OR OMISSIONS.
Making The Most Out Of Your Trip
Listed below are suggestions and tips to consider before and during your travel. Students and travelers should be expected to follow all school or organization policies and rules that are outlined in his or her student handbook during the trip.
Please consider these tips and ideas:
Become familiar with your itinerary, destination, and your responsibilities.
Remember that you are representing your state, community, school, and organization. Good manners and appropriate dress and behavior are important. Your chaperones are there to help. Communication is key when traveling in a large group. Let them know where you are, where you’re going, if you’re feeling ill, or have a personal problem. Please be considerate of fellow travelers. A large group may take longer to move and organize, so patience and arriving on time or early helps. While everyone wants to experience the most out of the trip, remember to get good sleep and to eat properly.
Motorcoach Travel
While the motorcoach is moving, please remain seated. Follow the travel director’s instructions on when to board and disembark the motorcoach. If you bring food or drink on board, be mindful to keep your area clean. All drinks should be in plastic or metal containers with screw-top lids. Straws, open containers, and glass are not allowed on the motorcoach. Keep track of your personal belongings, and do not leave them on the motorcoach overnight. While there is a bathroom on board, once the chemical flush toilet is full, it is unusable. No foreign objects should be flushed. It’s recommended to use rest stops when possible.
Flash photography is distracting. No flash photography is allowed while on board. Your driver has an important job, please show common courtesy and respect at all times.
Hotel Stays
It is your responsibility to keep track of your key. Remember to keep your room locked. Once curfew is in place, every student must be in his or her room, and observe quiet hours. No one is to enter rooms after curfew except staff or chaperones. Additionally, no student is allowed in the room of the opposite sex. Familiarize yourself with hotel instructions on emergency exits and evacuation steps.
Phone usage and guidelines are directed by the school or trip organizer. Students and travelers are responsible for any hotel phone charges to the room. Remember, your group is not the only one using the hotel. There are other guests trying to enjoy the same space. Please be mindful and respectful to other guests and employees.
Chaperones Responsibilities
Your patience and flexibility will allow for a smooth and enjoyable trip. Get to know your assigned students by name. Communicate all instructions, and ensure students understand what is expected.
You will take attendance at all gatherings, make sure students are awake in the morning at the appropriate time, and monitor and enforce curfew. Please check hotel rooms upon arrival and departure to make sure everything is in order. Ensure everyone is following the rules and schedule. If there is a problem that needs to be addressed, alert the director or leader. Be available to help at any moment.
Packing
This trip might be the firstone for many students. Occassionally,luggage restrictions and fees change. Please review the airline’s baggage fees and requirements and motorcoach guidelines. Packing for a trip can be overwhelming, so consider your itinerary,and edit your selection for carry-on and/or checked luggage. Also, make sure you can lift and maneuver your suitcase, as you are responsible for it. All bags should have proper identification tags.
Carry-On Items and Day of Travel
Wearing appropriate clothes and comfortable shoes will start the trip off right.
